Who This Is For
Businesses in South Bend, Mishawaka, Elkhart, Goshen, Plymouth and across Northern Indiana that live in Outlook, Teams, OneDrive and SharePoint — which, at this point, is nearly all of them. It fits the 15-person firm whose Microsoft 365 was set up by whoever was handiest and never touched again; the practice that needs to prove to an auditor or insurer that email is protected and retained; the manufacturer still running an aging Exchange server in a closet; the company that just bought a competitor and has two tenants to merge; and anyone whose licensing bill has quietly grown while headcount hasn't.
The Problem: Microsoft Makes It Easy to Turn On and Easy to Get Wrong
Microsoft 365 is excellent software, and its defaults are designed so that a business can be up and running in an afternoon. Those same defaults are why it is the most attacked platform our clients use. In the tenants we inherit around Northern Indiana, the pattern repeats: multi-factor authentication turned on for some people but not enforced, sign-ins allowed from anywhere in the world, former employees' accounts still active, phishing protection at the base setting, nobody backing anything up because "it's in the cloud," and a license count that hasn't matched the payroll in two years.
None of that is a knock on the people who set it up. Microsoft 365 is now a security platform, an identity system, a file server, a phone system and an AI platform in one, and it needs someone whose job is to keep it configured correctly as it changes — which it does, monthly.
Without proper configuration, your Microsoft 365 environment is vulnerable to:
- Email phishing attacks that bypass default security
- Unauthorized access due to weak authentication settings
- Data loss from accidental deletion or malicious activity
- Compliance violations from improper data handling
- Wasted licensing costs from unused or incorrectly assigned licenses
Our Microsoft 365 Services
Security Hardening
Configure Microsoft 365 security settings to protect against threats: multi-factor authentication enforced for everyone, conditional access policies, email security rules, and data loss prevention policies.
Microsoft 365 Backup
Backup your Microsoft 365 data including emails, OneDrive files, SharePoint sites, and Teams data to separate storage. Microsoft's native retention isn't sufficient — we provide additional backup protection.
User Management
Same-day onboarding and offboarding, proper license assignment, group management, and access control so users have the right permissions without security risks.
Licensing Optimization
Review your Microsoft 365 licenses to ensure you're paying for what you need. We identify unused licenses, recommend appropriate tiers, and reclaim seats when people leave.
Email Security Configuration
Advanced threat protection, anti-phishing and anti-spoofing policies, safe links and safe attachments, plus the SPF, DKIM and DMARC records that stop criminals sending mail as you.
Ongoing Support
Continuous monitoring and management of your environment — security updates, policy adjustments, and a local help desk for the "Outlook is doing something weird" calls.
Migration to Microsoft 365
From Google Workspace, on-premises Exchange, POP/IMAP hosting or another tenant. Mail and files copied ahead of time, cutover after hours, old system kept until every mailbox is confirmed.
Copilot Readiness
Copilot sees whatever each user can see. We review SharePoint and OneDrive sharing first, tighten it, then license and roll Copilot out to the people who will use it. See our AI services.
Security Hardening for Microsoft 365
Default Microsoft 365 settings are designed for ease of use, not security. We harden your environment with:
Multi-Factor Authentication
Enforced for all users — not just enabled — so a stolen password alone gets an attacker nothing. We also close the legacy sign-in methods that quietly bypass MFA, and help every user set it up properly.
Conditional Access Policies
Control who can access Microsoft 365 from where and on what devices. Block sign-ins from countries where nobody works, and require extra verification for risky ones.
Email Security Rules
Rules that block malicious mail, quarantine suspicious messages, flag external senders, and stop the invoice-redirect and "are you at your desk?" scams that target businesses here every week.
Data Loss Prevention
Policies that stop sensitive data — card numbers, health information, controlled drawings — from being emailed or shared outside the company, with the audit trail your compliance framework or insurer wants.
Why Microsoft 365 Data Needs Backup
Many businesses assume Microsoft 365 data is automatically backed up, but Microsoft's native retention has limitations:
- Deleted items retention is limited — permanently deleted emails may be unrecoverable after the retention period
- Accidental deletion by users can result in permanent data loss if not caught quickly
- Malicious deletion by compromised accounts can delete data before you notice
- Ransomware can encrypt or delete cloud data if accounts are compromised
- Compliance requirements may require longer retention than Microsoft provides
We back up mailboxes, OneDrive, SharePoint and Teams to storage outside your tenant, so you can recover a single email, a folder, or an entire mailbox even after Microsoft's retention period expires. More on our approach: backup and disaster recovery.
User Management Best Practices
Proper user management in Microsoft 365 is critical for security and efficiency:
Onboarding
New users set up with the right license, email address, groups and permissions, their device configured, MFA enrolled, and a short walkthrough of the tools — ready before their first morning.
Offboarding
When employees leave: access blocked and sessions revoked the same day, company data wiped from their phone, mailbox and files handed to their manager, license reclaimed.
License Management
Licenses assigned based on what each person does, removed from inactive accounts, and reviewed regularly so the bill tracks the payroll.
Access Control
Users get access to only what they need, through groups rather than one-off permissions, with periodic reviews so access doesn't accumulate over years.
How We Take Over a Microsoft 365 Tenant
- Security review. We read your current configuration against a hardening checklist and show you, in plain English, what's exposed. This is the free assessment.
- License audit. Every assigned license checked against the payroll and against what's actually used.
- Quick fixes first. MFA enforcement, departed accounts, obvious phishing gaps — the things that matter most and disrupt least, usually within the first week.
- Hardening, staged. Conditional access, email protection, DLP and device policies rolled out in steps, with your staff told what will change before it changes.
- Backup running. Mail, files and Teams backed up outside the tenant before we call the onboarding done.
- Ongoing. Monthly review of Microsoft's changes, user adds and removes the day they happen, and a help desk that knows your tenant.
Pricing
Microsoft 365 management is included in our managed IT agreements, which are priced per user per month. Microsoft licensing itself is a separate, pass-through cost — we recommend the right plan for each role and bill it at Microsoft's price, and the license audit we run at onboarding regularly offsets months of service fees. Migrations and one-off hardening projects for businesses not on an agreement are quoted as a fixed price, or billed at our published hourly rates.
